Privacy Policy for Quality Business Services Pty. Ltd.
Quality Business Services Pty. Ltd. (ABN 73 102 885 030) (“QBS”, “we”, “us” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, hold, disclose, protect and delete personal information obtained through:
- our website at www.qualitybusinessservices.com.au (the “Site”);
- our business activities and communications; and
- our internal LinkedIn Page data-portability and archival application (the “LinkedIn Application”).
We handle personal information in accordance with applicable privacy laws, including the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles where they apply, as well as applicable LinkedIn API terms and data-use requirements.
1. Personal information we collect
Depending on how you interact with us, we may collect and hold:
- your name, email address, telephone number and other contact information;
- information you provide through forms, enquiries, orders, support requests or other communications;
- business, transaction, account and service-related information;
- technical information about your use of our Site, including browser type, device type, operating system, Internet service provider, IP address and similar information; and
- information made available to our LinkedIn Application through LinkedIn’s authorised APIs, as described below.
You may browse parts of our Site without directly identifying yourself. However, some technical information may still be collected automatically when you use the Site.
Where practicable, we collect personal information directly from you. Information submitted through our forms, enquiries and communications is provided voluntarily. You may decline to provide requested information, although this may prevent us from completing an order, providing a service or responding fully to your request.
2. Information collected through our LinkedIn Application
The LinkedIn Application is an internal tool used by authorised administrators of the Quality Business Services Pty. Ltd. LinkedIn Page. Its purpose is to create and maintain an authorised archive of our organisation’s LinkedIn Page content and related activity.
After an authorised LinkedIn Page administrator expressly authorises the LinkedIn Application, it may retrieve the following information, to the extent made available by LinkedIn and permitted by the administrator’s permissions:
- the LinkedIn Page’s name, identifier and administrative information;
- posts published by or associated with the QBS LinkedIn Page;
- post text, publication and modification dates, URLs, identifiers and content types;
- images, videos, documents, thumbnails and other media associated with Page posts;
- comments and replies associated with Page posts;
- comment text, identifiers, timestamps and parent-comment relationships;
- reactions, reposts, engagement totals and related metadata;
- limited information about people who interact with the Page, such as a LinkedIn-provided identifier, display name or profile image, but only where LinkedIn makes that information available under the individual’s settings and applicable API permissions;
- LinkedIn OAuth access tokens and related authorisation information required to operate the LinkedIn Application; and
- technical logs needed to secure, maintain and troubleshoot the LinkedIn Application.
LinkedIn controls what information its APIs make available. An individual’s LinkedIn privacy and data-export settings may limit or remove identifying information from data supplied to the LinkedIn Application.
The LinkedIn Application does not request access to private messages, account passwords, unrelated personal-profile content, personal contacts or information that is not required for the approved Page-archiving purpose.
3. How we collect information
We may collect information:
- directly from you when you contact us, submit a form, place an order or request a service;
- automatically when you use our Site, including through cookies and similar technologies;
- from LinkedIn through its authorised APIs after an authorised Page administrator has granted the required permission; and
- from service providers where necessary to operate our business and permitted by law.
Information submitted directly through our Site, forms, email or other communications is provided voluntarily. Where we request personal information, we will seek to explain why it is required when that purpose is not otherwise apparent.
4. LinkedIn administrator authorisation and consent
Before the LinkedIn Application accesses LinkedIn Page data, the administrator is shown the permissions requested through LinkedIn’s authorisation process. Access occurs only after the administrator takes an affirmative action to authorise the application.
The LinkedIn Application collects Page data when an authorised administrator initiates or enables an export or synchronisation. Where continuing access is enabled, the application may retrieve new or updated Page information periodically while the authorisation remains valid.
An administrator may withdraw authorisation through their LinkedIn settings or by contacting us at admin@qualitybusinessservices.com.au. Withdrawal prevents future collection once it has been processed, but it does not necessarily delete information already lawfully archived. Deletion can be requested as explained below.
5. How we use collected information
We may use personal information to:
- provide and administer our products and services;
- complete and manage orders and other transactions;
- respond to enquiries, customer-service requests and support needs;
- provide information and updates concerning an order, requested service, account, enquiry or support request;
- personalise and improve our Site, services and user experience;
- understand in aggregate how people use the services and resources available through our Site;
- maintain the security, integrity and reliability of our systems;
- meet legal, regulatory, accounting and recordkeeping requirements; and
- manage privacy, access, correction and deletion requests.
Information obtained through the LinkedIn Application is used only to:
- archive and back up content published through the QBS LinkedIn Page;
- maintain an internal content inventory and historical business record;
- preserve associated comments, replies and media where authorised;
- perform internal content and engagement analysis;
- respond to lawful recordkeeping, compliance or audit requirements; and
- operate, secure and troubleshoot the LinkedIn Application.
We do not use LinkedIn API data to build advertising profiles, determine eligibility for employment, credit, insurance or similar opportunities, conduct surveillance, or make decisions that produce legal or similarly significant effects concerning individuals.
We do not sell LinkedIn API data or use it for unrelated advertising or marketing.
6. Disclosure and sharing
We do not publicly disclose information retrieved through the LinkedIn Application.
We may disclose personal information only:
- to authorised QBS employees or contractors who require access for the purposes described in this policy and who are subject to appropriate confidentiality and data-protection obligations;
- to service providers that help us securely operate, host, maintain or support our systems, subject to appropriate contractual safeguards;
- with the individual’s consent or at their direction;
- where required or authorised by law, regulation, court order or a governmental authority; or
- where reasonably necessary to investigate or prevent fraud, misuse, security incidents or unlawful activity.
We do not give third parties access to LinkedIn API data for their own independent purposes.
7. Overseas disclosures
QBS does not currently disclose information obtained through the LinkedIn Application to overseas recipients. If our practices change and overseas disclosure becomes likely, we will update this Privacy Policy and, where practicable, identify the relevant countries before making that disclosure.
LinkedIn independently operates an international platform and processes information under its own privacy policy. Information processed directly by LinkedIn is governed by LinkedIn’s practices and policies.
8. Data storage and retention
We hold personal information only for as long as it is reasonably necessary for the purposes described in this policy, to comply with applicable legal obligations, or as otherwise permitted by law and the applicable LinkedIn terms.
LinkedIn API data is logically identifiable and segregated so that it can be located and selectively deleted. We do not retain LinkedIn API data after it is no longer needed to provide the LinkedIn Application’s authorised archival function.
Subject to any legal obligation requiring retention, we will delete applicable LinkedIn API data:
- when the authorised user or relevant individual validly requests deletion;
- when the LinkedIn Application ceases operating or no longer uses that data;
- when LinkedIn requires deletion under its applicable terms; or
- when our authority to retain the information otherwise ends.
OAuth access tokens are retained only while needed to provide authorised access. They are revoked or deleted when access is withdrawn, expires, is no longer required, or must be removed under applicable requirements.
9. How to withdraw access or request deletion
An authorised LinkedIn administrator may stop future access by:
- removing or revoking the LinkedIn Application through the applicable LinkedIn account settings; or
- emailing admin@qualitybusinessservices.com.au.
To request deletion of personal information obtained through the LinkedIn Application, email admin@qualitybusinessservices.com.au with the subject line “LinkedIn Data Deletion Request”. Please provide enough information for us to identify the relevant Page, post, comment or account relationship without sending unnecessary sensitive information.
We may need to verify the requester’s identity or authority before acting. After verification, we will delete the relevant LinkedIn API data promptly, including immediately where required by the applicable LinkedIn terms, unless retention is required by law or a governmental authority. We will confirm when the request has been completed or explain any lawful reason that prevents us from complying.
10. How we protect information
We use reasonable administrative, technical and physical safeguards designed to protect personal information from misuse, interference, loss, unauthorised access, modification and disclosure. Depending on the nature of the information and system, these safeguards may include:
- access controls based on business need;
- authentication and credential-management controls;
- encryption in transit and, where appropriate, at rest;
- system monitoring and logging;
- secure backup and recovery practices;
- vulnerability and incident-response procedures; and
- confidentiality and security obligations for personnel and service providers.
No method of electronic transmission or storage is completely secure. If we become aware of a data breach, we will assess and respond to it in accordance with applicable law and our contractual obligations, including notifying affected individuals, regulators or LinkedIn where required.
11. Cookies and technical information
Our Site may use cookies and similar technologies for essential functionality, security, preferences and aggregated usage analysis. A cookie is a small data file placed on a device for recordkeeping and related purposes.
Your browser may allow you to refuse or delete cookies or alert you when cookies are being used. Some parts of the Site may not function correctly if cookies are disabled.
The LinkedIn Application does not use cookies to create advertising profiles from LinkedIn API data.
12. Access and correction
You may request access to personal information we hold about you or ask us to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading.
Send requests to admin@qualitybusinessservices.com.au. We may need to verify your identity before responding. We will respond within a reasonable period and, if we refuse a request where permitted by law, will explain the reason and available complaint options.
Some information displayed in our archive originates from LinkedIn. Correcting information in our records does not necessarily alter the source information held or displayed by LinkedIn. You may also need to update or address that information directly through LinkedIn.
13. Privacy complaints
If you believe we have mishandled your personal information, please contact us using the details below and describe your concern. We will acknowledge and investigate the complaint and aim to respond within a reasonable period.
If you are not satisfied with our response, you may be entitled to contact the Office of the Australian Information Commissioner or another applicable privacy regulator.
14. Third-party services and links
Our Site and services may contain links to third-party services, including LinkedIn. Those services are governed by their own privacy policies and practices. This Privacy Policy does not control how LinkedIn or another independent third party collects or processes information through its own services.
15. Changes to this Privacy Policy
We may update this Privacy Policy when our practices, technology, services or legal obligations change. When we do, we will publish the revised policy on this page and update the “Last updated” date.
If a change materially affects how we use information obtained through the LinkedIn Application, we will provide additional notice or obtain renewed authorisation where required.
